 Travel Policy + Client Etiquette

✈️ Travel Policy & Client Etiquette

Thank you for trusting me with your travel planning. To ensure a smooth, stress-free experience for both of us, please review the following policies and etiquette guidelines.

 **Planning & Service Policy**

* A **planning/consultation fee may be required** before research or proposals begin. This fee covers time, expertise, and access to professional booking tools.
* Quotes are based on **live pricing** and are subject to change until booked.
* Prices are not guaranteed until payment is processed and confirmed.
* I do not hold rooms, flights, or rates without required payment.

**Payment Policy**

* Full payment may be required depending on the supplier or booking type.
* If a deposit is available, the amount and due dates will be communicated in writing.
* Final balances must be paid by the listed deadline to avoid automatic cancellation.
* Failure to make payment = forfeiture of booking and deposits.
* Payment must be made through approved secure payment methods only.

 **Refunds, Cancellations & Changes**

* Planning fees are **non-refundable**.
* Deposits and payments follow **supplier cancellation policies**, not my personal policies.
* Cancellations made by the traveler are subject to penalties outlined by airlines, hotels, and tour companies.
* Any change request (dates, names, destinations, etc.) may incur supplier fees.
* Refunds, when applicable, are issued by the supplier, not the agent.
* Travel insurance is strongly recommended. Declining insurance means **you accept full responsibility** for losses.

**Documentation & Responsibility**

Clients are responsible for:
* Providing **accurate legal names** matching government ID/passport
* Providing correct birthdates, emails, and payment info
* Reviewing all confirmations for accuracy within 24 hours
* Ensuring passports, visas, vaccinations, and entry requirements are completed

I am happy to guide you, but I am not responsible for denied boarding, expired documents, or incomplete entry requirements.

**Communication & Response Times**

* My business hours are: **9AM-6PM**.
* Please allow **24–48 hours** for standard responses.
* Emergency assistance is available for active travelers only.
* Respectful communication is expected at all times.

**Client Etiquette**

To make this a smooth and enjoyable process:
* Be honest about your budget and expectations
* Don’t “shop” quotes to book elsewhere — respect the work invested
* Avoid last-minute planning when possible
* Understand travel agents do NOT control airline behavior, weather, or global events
* Be patient with changes; I advocate for you, but I must follow supplier rules

 **Travel Insurance**
Life happens. Travel insurance protects you from:
* Cancellations
* Medical emergencies
* Lost luggage
* Trip interruptions
* Delays
 If you decline coverage, you accept full liability for losses

 Agreement

By working with me, you acknowledge that you have read, understand, and agree to these policies.
